How to send a reminder to your customer

  1. Once you have searched for customers with outstanding invoices, select the customers that you will send out reminders to by checking the boxes to the right of the individual customers or 'Select All' above the list area
  2. Click 'Book/register selected' (or click the arrow to the right of ‘Book and e-mail’ to instantly send the document in a digitally signed file)
  3. Fill in the fields (see details about the fields below)
  4. Click 'Yes'

In the figure below, you can see a sample list of customers with outstanding invoices. By placing a green check in the box to the right, you can choose the customers to send reminders to (step 1 above):

Note: To e-mail documents, the customers’ e-mail addresses must be entered in the customer list.

The figure below shows the "Book/register selected" box where you will complete the following fields:

Details about the fields:

Field Action
Show reminders Check this if you want to view the document when it is booked/ e-mailed. A PDF file containing all selected document is generated and can be printed.
Book Book is selected as default.
Book and e-mail Check this if you want to book and e-mail the documents selected.

To find a reminder and cancel interest/reminder charges:

  1. Click ‘Sales tab’ > ‘Customers’ > ‘Archive’
  2. Edit the fields details and remove charges/interest (note that it is not necessary to edit all the fields)
  3. Click ‘OK’

To select and cancel reminders:

  1. Select the reminders you want to cancel by clicking to the right of individual reminders or on ‘Select all’ above the list area
  2. Click ‘Reverse selected’
  3. Check the box(es) of the charges you wish to apply
  4. Click ‘OK’ to reverse, book and match the interest and/or reminder charge\

If interest/reminder charges have already been reversed for a specific reminder, e-conomic will inform you and nothing will happen.

Note: A given reminder (1, 2 or 3) can only be used once per invoice. E.g., if you reverse Reminder 1 and subsequently want to remind your customer, you must use Reminder 2.
