Getting you started with the E-conomic Scanning Trial

How to get the most out of your Scanning Trial

First, the scanning module provides you with a unique system email address. This email address can be found by going to the Bookkeeping tab and clicking on "Transfer documents". In order to open your scanned documents, PDF files, gif and jpgs in the application, simply email them from your own email address to this unique email address. Once these files have been sent, they will appear in the "Unprocessed" file.

In your scanning trial, sample scanned documents have already been transferred into the trial application for your convenience. Find these documents under the Bookkeeping tab in the "Unprocessed" file.

These documents can be worked with in a number of different ways, and each has been marked with a note mentioning what can be done with that kind of document. Let's walk through what you can do with the different sample documents:

"This scanned invoice can be processed under bookkeeping > Day books > Create from scanned."This note prompts you to create a new entry. As a starting point for entry booking, you can have a copy of a scanned document displayed at the base of your screen. To do this, go to Bookkeeping > Day books > choose the day book you want to work with > Create from scanned. Your unprocessed documents will pop up, and by leaving their status as "Apply" they will open to view for entry. While viewing your scanned documents, you can enter the information on the scan directly into the entry fields above - total price, invoice number, date, supplier code, etc. Once the entry information is complete, click okay to move onto the next scanned document.
"This scanned document can be linked to it's corresponding booked entry."This note prompts you to link a scanned invoice to an entry that has already been booked in E-conomic. One way to link a scanned invoice to a booked entry is to look under Bookkeeping > Supplier list. Then choose the supplier that matches the scanned invoice, click on the "Entries on Account" icon and find the corresponding entry (the one that matches the supplier, date, and price listed on the scanned invoice). Note the entry number. Then open your "Unprocessed" folder, and change the status of the scanned document you want to link to "Link". Then type in the retrieved entry number. If you do not look up the entry number first, then you can click on the icon with "…" next to the entry field. A list of all entries from the accounting year that you specify will appear, and you can choose the entry to link to from there. When entries are linked to scanned documents, a magnifying glass icon will appear next to the entry number. Clicking this icon will bring up the scanned document.
"This scanned document can be archived in it's proper place under Scanning Categories."This note prompts you to place scanned documents into your E-conomic archives under their corresponding Scanning categories. You can create Scanning Categories for your archives under Bookkeeping > Scanning Categories > New scanning category. There are two sample scanning categories already entered in your trial. Archive your sample documents in these categories by opening "Unprocessed" > then changing the document's status to "Archive" > then choosing the Scanning category to archive under > and clicking "Complete". This document can now be found under Bookkeeping > Archive.
