Customer groups

In order to set up a new customer, it is necessary to have a customer group. It is useful to group a company’s customers (e.g., ‘domestic’ and ‘foreign’ customers) and to link the group members to the same account when generating reports.

To create a customer group:

1.Click ‘Settings’ > ‘System setup’ > ‘Customer groups’

2.Click ‘New customer group’ above the list area

3.Edit the fields Details

4.Click ‘OK’NOTE: Once customers are linked to the group, the group cannot be deleted. No.: Enter the desired group number. Maximum nine characters, numeric only.

Field Action
Name The desired name of the group (e.g., domestic customers/customers abroad).
Account no. The Control account number for the customer group. Enter the desired account number or select an account by clicking the ‘…’ (search) icon.

Customer setup

When you set up a new customer, your default customer setup suggests the settings for the customer, e.g., terms of payment and number. This reduces errors as well as the time it takes.To create a default customer setup:

1.Click ‘Invoice’ > ‘New quotation/ order/ invoice’

2.Click ‘Customer setup’ above the list area

3.Edit the fields Details

4.Click ‘OK’Note that not all fields are mandatory.


Field Action
Customer group Include the customer in this group.
Terms of payment Select existing or create new terms of payment.
Automatic numbering proposal
Auto-create if no search results A new customer number will be assigned automatically
Also insert customer number as Enables the customer number to be used instead of telephone or corporate registration number when searching for the customer.
Status upon creation Indicate whether it should be possible to create an invoice without first having created a quotation. The selected document type is the first necessary document
Option upon creation Check this if you want to select whether to create an quotation, an order or an invoice each time you set up a new customer.
Enter gross prices on quotations/orders/invoices Check this if gross amounts should be stated on documents. E.g., if your company trades primarily with private customers
Layout Select existing or create a new layout for the documents customers see, e.g., invoices.

Always send to customer’s e-mail address: The e-mail address defined for the customer is suggested.Send quotations/orders/invoices BCC to: Enter your own e-mail address to receive copies of the sent e-mails. Apply customer address as default delivery location: Check this to always suggest the existing address as the delivery location.Delivery date for new invoices: Select whether to suggest ‘Today’s date’, a ‘Fixed:’ date or ‘None' (requires manual input when making entries).
